Overtime, Handled Right

Overtime rules vary by state. In California, it's not just weekly. You owe overtime after 8 hours in a single day, and double time after 12. QuickSpice tracks all of it.

  • Daily overtime is calculated automatically for states that require it
  • In California, hours are split into three buckets: regular, time and a half (8-12h), and double time (12h+)
  • Weekly overtime (40+ hours) is tracked for every state, as required by federal law
  • Overtime flags show up in both the schedule builder and time tracking so nothing gets missed

Multi-Role Employees? We've Got It Covered

When an employee works different positions at different pay rates in the same week, QuickSpice automatically calculates overtime using the correct blended rate, as required by law.

  • If someone works as both a Server and a Bartender at different hourly rates, their overtime rate is the blend of both rates for that workweek, not just one
  • Regular hours are split fairly across each role based on how many hours they actually worked in that position
  • Overtime uses each workweek's weighted rate, and California meal break premiums use the workweek regular rate: a blend of every wage worked plus service charge wages per hour
  • Your payroll export shows a separate line for each role with clear breakdowns, so your payroll provider gets exactly what they need

Meal Break Tracking

In California, a missed meal break owes the employee one extra hour of pay at their regular rate, once per workday; other states set their own premiums. QuickSpice flags it right away and shows the premium hours owed; payroll prices them for the week.

  • Shifts that exceed your state's threshold without an adequate break are flagged right away
  • In California, a 30-minute meal break is required for shifts over 5 hours, started no later than the 5th hour. QuickSpice checks the timing, not just whether a break happened.
  • Shifts over 10 hours in California require a second 30-minute meal break before the 10th hour, and we track that too
  • Managers can waive a violation when the employee voluntarily chose to skip their break

Split Shift Premiums

When an employee works a morning shift and comes back for dinner, that's a split shift. In some states, you may owe them extra pay. QuickSpice calculates the exact amount.

  • Split shifts are detected automatically when the gap between shifts is long enough to qualify
  • The premium is calculated using the real formula, not a flat dollar amount. Higher-paid employees may not be owed anything.
  • The calculation factors in total daily hours, total daily earnings, and the location's minimum wage
  • Managers can waive the premium when the split was at the employee's request

Short Shift Warnings

If you call someone in and send them home early, many states say you still owe them a minimum amount of pay. QuickSpice flags these so you know before payroll runs.

  • In California, the minimum is 2 hours of pay even if they only worked 45 minutes
  • Other states like Connecticut and DC require 4 hours minimum, Massachusetts requires 3
  • The pay gap is calculated and shown alongside the shift so managers can see the cost
  • This is a heads-up only. Your actual hours stay accurate, and the payroll provider handles the adjustment.

Warnings While You Schedule

Compliance checks aren't just for after the fact. When you're building the schedule, QuickSpice warns you about potential issues before you publish.

  • Scheduling someone for 9+ hours in California? You'll see an overtime warning before you publish
  • Long shifts without a scheduled break trigger a meal break reminder based on your state's rules
  • Break timing is checked too. In California, the first meal break must start before the end of the 5th hour on any shift over 5 hours.
  • Warnings appear right in the schedule builder so you can adjust before employees see it

Compliance in Time Tracking

After the shift is over, compliance issues show up right in the daily time tracking view. Meal and reporting-time premiums show as hours; split shift premiums are calculated in dollars and included in your labor cost summary.
